What it does for you at the meet.
Pick your role to see how Swim Meet Portal makes your meet easier, and the features that do it.
Hosts and Admins
Run the meet from one screen, without the paperwork.
You set the meet up once and the rest comes to you: scratches, finals, relays and fees arrive from phones, and the Bridge carries them into Meet Manager. The panel tells you what needs you next, and help is one button away.
Getting ready
The Meet Form check New
Post your meet form and SMP reads it. It finds the mistakes that slip through, like a weekday that does not match its date or last year's date left in, and lists where the form differs from Meet Manager. Meet Manager stays in charge, so nothing is changed for you. Suggested settings come with the line from the form, and you apply or skip each one.
A checklist to follow
The Pre-Meet Checklist on the Dashboard shows what is done and puts the next step on top.
Codes and setup sheets
An admin code for your helpers, a coach code for visiting clubs, and a one-page sheet for each with a QR code to scan or tap and the home screen steps.
The Bridge does the typing
Entries come in from Meet Manager, and scratches, finals scratches and DQs go back. How the Bridge works
Invite an admin
Accounts > Invite an admin emails a helper the admin code and how to sign in, with a note from you.
Settings, one line each
Setup > Config lists every switch on its own line, and says when Meet Manager moves a session's start time.
Documents and a public page
Drop a PDF on its box and it is posted. The meet's public page shows the documents and Live Results in your colours.
Running the meet
Scratches and deadlines
Coaches scratch until each session's deadline, which closes on its own. Lock an entry or override a decision when you need to.
Finals with Results Read
Press Results Read when an event's prelims are in. Coaches get their window to scratch, and Close shuts it.
Move-ups told for you
When a finals scratch moves a swimmer up and the window has closed, their coach gets a push. Send it by itself or hold it for a look first.
Swim-offs settled
A tie at the finals line is flagged. Pick the winner, or let Meet Manager's swim-off results decide, and the Bridge writes the places back.
Protected finals
Keep the slowest final for younger swimmers. SMP marks it and reminds you to set the same rule in Meet Manager.
Check-in, relays and splits
Check-in by event or by group, relay changes with their own deadline, and split requests you approve.
Score Projections
Know the team race before it is swum. New
Reports > Projections works out the team scores to expect, by your meet's own Meet Manager scoring rules: from the psych sheet, after prelims, and live as events are scored. Drag swimmers into the order you expect, then switch between With your changes and Without, or Reset all.
Meet hosts: available now Coaches: coming soon
Projections are estimates from seed times, prelim results and the meet's point table. They are not official results or scores.
Reports, fees and help
Every report on one page
Psych Sheet, Timeline, Custom Heats, Heat Sheets, Lane Timing and official Results, in Meet Manager's layouts. Heats and lanes are always Meet Manager's.
Award labels and the SCS package
Labels from Meet Manager's results, each printed once. Southern California meets get the SCS Post-Meet Package too.
Entry fees
The fee schedule comes from Meet Manager. Each club sees what it owes, and you mark a check paid at the desk.
Recon, sorted
Upload the USA Swimming recon report and the issues sort into four lists. Coaches send fixes for their own swimmers, and you accept them or not.
Need Help? and the SMP Assistant New
Tips as you type, the full guide by topic, and the SMP Assistant, which answers from the guide and knows your meet. Still stuck? Send a ticket.
Your license
The License panel shows the price as the entries come in and how it is worked out. The head admin pays it there by card. Pricing
Meet Manager and the Bridge
Meet Manager and SMP, kept in step.
The SMP Bridge is a small Windows program on the Meet Manager computer. It reads the meet database every minute and carries changes in both directions. Setup takes three steps, about five minutes:
- Install it. Download the installer on the Meet Manager computer and run it.
- Connect it. Paste the meet's code from the admin panel.
- Point it at the database. Choose the meet's Meet Manager file. The Bridge checks it is the right meet before it writes anything.
From then on it runs in the system tray. It picks up again after the computer sleeps, updates itself, and can hold more than one meet if you run two databases.
Download the Bridge for WindowsWhat the Bridge sends
- Entries, relays and the teams they belong to
- Sessions, events, and heats and lanes as Meet Manager seeds them
- The fee schedule, and meet settings such as dates, course and entry limits
- Results, splits and places, and when a round is done
- The meet's scoring setup, for score projections and team scores
What the Bridge writes
- Scratches, missed check-ins included, and finals scratches
- Relay lineup changes, and relays entered on deck
- Swims moved to the morning or the evening
- DQs called in Deck Ops, with the code and the official
- Approved split times and backup watch times, and swim-off places
Meet Manager stays the record
The schedule, dates, lanes, seeding and fees are set in Meet Manager. SMP mirrors them.
It refuses the wrong file
Once a meet is tied to a database, a different one is turned away, so one meet cannot overwrite another.
It works on a slow connection
Each sync is small. If the network drops, the next sync catches up.
You can see it working
The admin panel shows when the Bridge last synced, and raises a banner if it stops reading the database.
Changes made in Meet Manager show too
A scratch typed straight into Meet Manager shows up in SMP and in the coach's activity log.
You can run a meet without it
Upload the Hy-Tek entries and events files instead. Scratches and relay lineups then come back as a Hy-Tek merge file to import by hand.
Meet types and linked meets
The meet's own words
USA Swimming age group or senior, high school or college. Choose it on Setup > Config, and the app uses that meet's words and sign-in.
School meets
Dual meets, double duals and tri meets. Swimmers sign in with their name and birth date, sheets show the school year, and diving from Meet Manager shows where the meet has it.
Linked meets
An invitational and a novice meet on two Meet Manager files share one license and one fee statement per club. Four sessions and 250 swimmers in all is $100.00.
Coaches
Your team's meet, from your phone.
No paper and no line at the table. You see only your own team, every change is reviewed before it is sent, and you hear about move-ups without watching the board.
Scratches and finals
Scratches and check-in
Open until each session's deadline. Changes are staged and submitted together, so nothing goes out by a stray tap.
Finals scratches and intents
Scratch from a final or declare an intent, with a countdown while the deadline is open.
Live finals scratch status
See who scratched and who moved up into each final, live. See it
Told automatically
Move-up alerts
A push when one of your swimmers moves into a final or onto the alternate list, once the event's finals window has closed. You can switch it off.
Swim-off notices
If one of your swimmers ties at the finals line after prelims, you get a notice to see the Meet Admin about a possible swim-off.
The rest of the team's business
Relays
Lineups, check-in and scratches, and a relay link families can open with no sign-in.
Fees and recon
What the team owes, line by line, and a fix for a recon issue sent with a photo of the card.
Documents and groups
Meet documents, the DQ summary, the team's activity log, and training groups so each coach sees their own swimmers.

Score Projections for your team
Projected team scores for your own team, with your own what-ifs that only your coaches see. Projections are estimates for planning, from seed times, prelim results and the meet's point table. They are not official results or scores.
Swimmers and Families
Everything about your swims, with no password.
Sign in with what you already know and your own swims come first. You can tell when you have moved up into a final without asking anyone.
- Sign in with a USA Swimming ID and last name, or at college and high school meets a name and birth date
- My Events: every event with its heat, lane, seed and result
- Live finals scratch status, to see a move up into finals
- Alerts when you move into a final, if you turn them on
- Finals scratches and intents, when the host allows it
- The meet's documents, and results with your swims on top
- Add it to the home screen and it opens like an app
Officials
The deck, on a tablet.
Deck Ops puts each heat at the end of the lane: tap the lane, pick the code, name the official. The call reaches Meet Manager through the Bridge, with the code and the official who made it, so nobody chases slips across the deck.
One heat at a time, every lane in reach.
Deck Ops opens on the event the deck is swimming, and each tablet keeps its own event after that. Pick another session or event at any time. Each lane has four buttons: DQ, NS for a no show, DFS for a declared false start, and F to take the finish order.
- Prelims and finals, with the finals heats and lanes
- Lock a heat when it is done, so nothing changes by accident
- The finish order when the pads miss
- A lap count for the distance events
- Full screen, so nothing else is on the tablet
A DQ in two taps. The code when there is time.
Mark the DQ while the heat swims. When it is over, add the infraction from the code list and the official who made the call. A heat with a DQ still waiting for its code cannot be locked.
- The rule text goes with the code
- The calling official is picked from the meet's roster
Say the lanes. Keep your eyes on the water.
With voice on, a timer or a judge says the lane numbers as the swimmers touch and Deck Ops takes the finish order. Read back says each lane aloud so you can hear it was taken.
Voice works on iPads and on Fire and Android tablets. On a Fire or Android tablet the voice files download once, about 40 MB, best on WiFi. The voice check tries a tablet before the meet.
Check a tablet's voice entryRelay takeoffs, judged lane by lane.
Each takeoff judge picks their name and which end they judge, then marks every exchange in the heat: X for early, O for legal. A judge sees only their own marks until the referee checks the heat, and an early takeoff counts once two different judges mark it.
One link serves every takeoff judge on deck.
A QR code for each job on deck
The admin makes a link for each job. Scan it and the device is signed in for that job only. Nobody needs an account, and the admin can turn a link off at any time.
The announcer
The heat sheet in large type, with preferred names, teams and seed times, heat by heat. A Results Read button for each event sits beside it, and finals scratches close a set time after it is pressed.
Timing
The heat sheet with race numbers. The timing operator sets where a session starts, moves a race number when the console is off by one, locks each heat and leaves a note on a lane for the admin, such as a pad that missed.
The Meet Referee and the watch-time runner
The Meet Referee's link puts Deck Ops, the meet's documents, the officials roster, hours, rates, the pay sheet with approval and the DQ transfer sheet on a phone. It works until two days after the meet ends.
The watch-time runner types the two watch times as they are read off the deck. An admin approves them before they reach Meet Manager.
The roster, hours and pay sheet
The officials roster with positions, from Meet Manager or added here. Hours by session, rates, and a pay sheet the Meet Referee approves. Timing and warm-up assignments are built on Setup > Assignments.
- A DQ transfer sheet: every call on deck in one list, ticked off as it reaches Meet Manager
- Each team's DQ summary on the coach's phone
- For a Southern California Swimming meet, the SCS Post-Meet Package
Try it first.
The practice page is the real Deck Ops screen on a made-up meet. Mark DQs, take a finish order, lock heats and count laps. Nothing you tap is saved or sent anywhere, and Reset puts the meet back as it was.
Deck Ops only
$15 per meet, any size
For a meet that wants only the officials' side: Deck Ops, the roster, hours and pay sheet, timing and warm-up assignments, the DQ transfer sheet and the Bridge. Coaches and swimmers do not sign in.
Fans
Follow the meet from the stands, or from home. New
Live Results opens on any phone with no app and no sign-in. After prelims it shows each final as it stands right now, so a family can see when their swimmer has moved up.
- A finals scratch is struck through and everyone below moves up a place
- An intent to scratch, a potential swim-off and a protected final are each marked
- Filter by team, or find a swimmer
What each meet shows
Prelims and finals meets
Each prelims event by place and age group, with the live finals scratch status, as soon as Meet Manager has the results.
The full Live Results page
Every event as it swims, heat by heat, with splits. It is switched on meet by meet, so ask about it when you request your meet.
On the full page
What just came in, first
Sessions across the top, the heat that just came in under them, then the events: done, swimming or coming up.
Splits one tap away
Show splits puts each swimmer's splits under their result. A missed pad is an empty box, not a wrong number.
Stars, links and scores
Star the swimmers you follow and share a link to an event. Team scores can sit beside the sessions too.
Results reach the page a minute or so after the timing operator scores the heat in Meet Manager. They stay marked Unofficial until the meet posts them. A timed finals meet without the full page has no results link.

Creating a meet is free. You pay when your entries are in, and only for the size of the meet you run.
