Questions, answered.

What people ask before their first meet, and where to get help once yours is running.

Getting started

How do I start?

Request a meet from the app: give the meet's name and type, its dates and how many sessions it has. Setting it up is free. We check a new account's first meet ourselves and email you the answer; after that, new meets open straight away.

What does it cost?

A license for each meet: $25 per session, adjusted for the number of swimmers, with the size fixed two days before the meet. Coaches and swimmers pay nothing. Work out your meet

What do I need?

Hy-Tek Meet Manager for the meet itself, and the Windows computer it runs on for the SMP Bridge. A computer for the admin panel, and tablets if your officials will use Deck Ops. Without the Bridge, you can upload the Hy-Tek files instead.

Can I try it before I pay?

Yes. Create a meet, set it up and look around. Everything works while you set up, for coaches and swimmers too, so you can check it all first. Officials can also try Deck Ops on the practice meet without signing in.

How long does setup take?

The Bridge takes about five minutes: install it, paste the meet's code and choose the Meet Manager file. The Pre-Meet Checklist on the Dashboard then shows what is left, with the next step on top.

Which meets does it work for?

USA Swimming age group and senior meets, high school and college meets. Invitationals and championships, dual meets, double duals and tri meets. Two meets on the same weekend can be linked to share one license.

Will it change my Meet Manager file?

Meet Manager stays the record. The Bridge writes back only what happens on deck and in the app: scratches, finals scratches, relay changes, DQs, and the split and watch times you approve. It refuses a Meet Manager file that does not belong to the meet, so one meet cannot overwrite another.

Coaches, swimmers and families

Do coaches or swimmers pay anything?

No. The host's license covers everyone at the meet.

Do they need to download an app?

No. Swim Meet Portal opens in the phone's browser. Added to the home screen, it opens like an app, and the setup sheets show how.

How do coaches join a meet?

With the meet's coach code, or by scanning or tapping the QR code on the coach setup sheet. A coach makes an account once and keeps it from meet to meet, and sees only their own team.

How do swimmers sign in?

With their USA Swimming ID and last name, or with their name and birth date. At college and high school meets the name and birth date come first. There is no password to forget.

Can parents follow along without signing in?

Yes. Live Results is public and needs no sign-in. After prelims it shows who scratched from finals and who moved up. Swimmers who sign in also see their own events, heats and lanes.

What devices work?

Coaches, swimmers and families use any phone with a web browser. The admin panel is made for a computer and also works on a tablet. Deck Ops runs on iPads and on Fire and Android tablets.

Meet day

What if the network at the pool is slow?

Each Bridge sync is small. If the network drops, the next sync catches up, and the admin panel shows when the Bridge last synced.

Can a coach change a scratch after the deadline?

Deadlines close on their own, to the minute. After that an admin can still make the change, or lock and override any decision, and everything is written to the activity log.

How do officials get on the deck tablets?

The host makes a link for each job, such as the Meet Referee, the announcer or timing. Scanning its QR code signs the device in for that job only. Nobody needs an account, and the host can turn a link off at any time.

How do coaches hear about finals?

Their Finals page shows each final and its deadline. When one of their swimmers moves up into a final after the window closes, they get a push on their phone, and a tie at the finals line brings a swim-off notice.

Your data

Who can see what?

Admins see the whole meet. A coach sees only their own team, and a swimmer only their own page. Live Results and the meet's public page are open to anyone, and the host can hide the results link on the public page.

Is my data private?

Our Privacy Policy says what we keep and why, and the Terms of Service cover the rest.

What happens to the meet afterwards?

It stays in your account. You can download a backup, archive the meet, or clear it and reuse it next year.

Do you take a cut of entry fees?

No. Clubs pay entry fees to the host the way the meet asks, and that money never passes through us.

Getting help

Running a meet already?

Use Need Help? at the top of any admin page. Tips come up as you type, the full guide is there by topic, and the SMP Assistant answers questions from the guide about your meet. It is for signed-in meet admins, inside the admin panel.

Still stuck? Contact support on the same page sends us a ticket, and a person reads every one.
