Pricing

Pay per meet. Setup is free.

A license is $25 per session, adjusted for the number of swimmers. The price follows the entries you actually get, and you pay only for the meet you run.

Work out your meet

A prelims and finals day is two sessions.

Every swimmer entered in the meet, across all teams.

Add a linked meet

A second meet the same weekend on its own Meet Manager database, such as a novice meet. The two share one license.

Your meet

$25.00

1 session at $25.00 is $25.00. 250 swimmers is within the first 250, so there is no size adjustment. Total $25.00.

The rates

One price per session, in steps of 250 swimmers.

The first 250 swimmers are the base rate. Each further 250 adds a quarter of the base rate per session. There is no upper limit and no fee per swimmer.

A session counts when at least one race swims in it: prelims, finals or timed finals. A session of only 800 and longer freestyle events, a split session and a swim-off session do not count. Each time trial session counts as one session.

How the price is set

Nothing to pay while you set up.

1

Set up for free

Create the meet, add your team, upload documents and try everything. It all works while you set up, for coaches and swimmers too.

2

Entries arrive

Once entries are in, the meet has a size and a price. The License panel on the Dashboard shows both, and how the price is worked out.

3

The size locks

Two days before the meet starts the size is fixed. If the meet grew before then, only the difference is added. The head admin pays by card from the License panel.

4

The meet runs

A meet in progress is never stopped over billing. Your invoices stay on the License panel.

Officials only

Deck Ops only

$15 per meet, any size

For a meet that only wants the officials' side: Deck Ops, DQ slips, the officials roster, hours and pay sheet, timing and warm-up assignments, the DQ transfer sheet and the Bridge, with the SCS post-meet reports on a Southern California meet. Coaches and swimmers do not sign in.

Two meets, one weekend

Linked meets

A main meet and a side meet share one license. Their sessions add up and their swimmers add up, and the main meet carries the price.

A three-session invitational with 236 swimmers and a one-session novice meet with 14 is four sessions and 250 swimmers: $100.00.

Entry fees are separate

Clubs pay the host. We do not take a cut.

The license is what the host pays for Swim Meet Portal. Entry fees are what visiting clubs owe the host, and that money never passes through us.

Each club sees its fees in the app, line by line, and pays the host the way the meet asks. The host records each payment, and the club sees what is paid and what is left.

  • The fee schedule comes from Meet Manager
  • Coaches see an estimate until the fees lock on the first day of the meet
  • After the lock, a team is billed again only when its total goes up
  • A printable fees report and a CSV for the treasurer
  • One statement covers a club's fees in two linked meets

Questions

The details people ask about.

What counts as a session?

A session in your Meet Manager schedule with at least one race in it: prelims, finals or timed finals. Prelims and finals on the same day are two sessions. A session of only 800 and longer freestyle events, a split session or a swim-off session is not counted. Each time trial session counts as one session.

What counts as a swimmer?

Each swimmer entered in the meet, counted once, whatever the number of events they swim.

What if my meet gets smaller?

The price is based on the largest the meet has been. It does not go down if entries are withdrawn later.

What if it gets bigger?

Up to two days before the meet, the difference is added. After that the size is locked and nothing more is added.

Can I try it before paying?

Yes. Create a meet, set it up and look around. Everything works while you set up, for coaches and swimmers too, so you can check it all first.

Do coaches or swimmers pay anything?

No. The host's license covers everyone at the meet.

How do I pay?

By card, from the License panel on the meet's Dashboard. The head admin pays once the size locks, two days before the meet. Your invoices are kept there too.

Set up your next meet in an afternoon.

Creating a meet is free. You pay when your entries are in, and only for the size of the meet you run.
